Privacy Policy

1. Who we are

Hawaii Market Expo (“HME,” “we,” “us”) organizes wholesale, trade-only shows for the gift, jewelry, apparel, and accessories industry. Our office is in Millbrae, California, and our shows take place at the Blaisdell Exhibition Hall in Honolulu, Hawaii. This policy covers www.hawaiimarketexpo.com (the “Site”), our registration and exhibitor processes, our emails, and our shows.

2. Information we collect

Information you give us

• Buyer registration: your name, email address, company name, street address, city, state, zip code, telephone number, General Excise (GE) license number, and website or social media links.
• Exhibitor applications: company name, contact names, mailing address, phone and mobile numbers, email address, website, product descriptions and categories for the Buyers’ Directory, names for booth worker badges, booth and equipment selections, and payment information you provide to pay show fees.
• Contact form and newsletter: your name, email address, and anything you include in your message.
• At the show: to confirm trade status, we check a government-issued ID and GE license (or other proof of business, such as a business card, business check, or business credit card) at check-in. We record your badge details and may record your attendance.

Information collected automatically

• Device and usage information: IP address, browser type, device type, pages viewed, referring pages, and dates and times of visits, collected through server logs and website statistics.
• Security information: login attempts and traffic patterns used to block attacks on the Site.

Photos and video at our shows

We and our official photographer or videographer may take photos and video at our shows, which may show attendees, booths, and merchandise. See our Terms and Conditions for how we use them.

3. How we use information

• To register buyers, verify trade status, and issue and print badges.
• To process exhibitor applications, assign booths, collect show fees, coordinate equipment and services, and publish exhibitor listings in the online Buyers’ Directory and floor plan.
• To send badge confirmations, show updates, and other messages about the shows you registered for.
• To send newsletters and promotional emails about upcoming shows. You can unsubscribe at any time.
• To answer questions you send us.
• To run, secure, and improve the Site and our shows, including preventing fraud, spam, and unauthorized access.
• To promote our shows, including with photos and video taken at the show.
• To comply with law, enforce our terms and exhibitor contracts, and protect the rights and safety of HME, attendees, and others.

4. How we share information

We do not sell personal information for money. We share information only as described below.

• Exhibitors at our shows. We may provide registered buyers’ contact information (such as name, company, email, phone, and business address) to exhibitors at our shows on request, so exhibitors can follow up about their products. If you don’t want your information shared with exhibitors, email info@hawaiimarketexpo.com and we’ll stop.
• Buyers and the public (exhibitor listings). Exhibitor company names, contact names, phone numbers, email addresses, websites, and product descriptions submitted for the Buyers’ Directory are published in our online directory and floor plan.
• Service providers. Companies that help us run the Site and the shows, under instructions to use information only for us. These include our website host, Google (forms, spreadsheets, and email), Mailchimp (newsletters), Automattic’s Jetpack (site statistics and security), ExpoFP (online floor plan and directory), and our official show decorator, I.C.S., for booth equipment and services.
• The venue and security. Information needed to operate the show safely, such as exhibitor and badge details, may be shared with the venue and show security.
• Legal and safety reasons. When required by law or legal process, or to protect the rights, property, or safety of HME, attendees, or others.
• Business transfers. If HME is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
• With your consent. In other cases when you ask us to or agree to it.

5. Cookies, analytics, and Do Not Track

The Site uses cookies and similar technologies to keep the Site working, remember preferences, keep administrator logins secure, and measure how pages are used. Site statistics are provided by Jetpack. You can block or delete cookies in your browser settings; some parts of the Site may not work without them.

Do Not Track: some browsers offer a “Do Not Track” setting. There is no common standard for responding to these signals, so the Site does not currently respond to them. We do not allow third parties to track you across other websites through our Site for advertising.

6. Third-party services and links

The Site shows content from other services, including our Instagram feed and the ExpoFP floor plan, and links to other sites such as Facebook, Instagram, and Google. Those services may collect information under their own privacy policies when you interact with them. We are not responsible for their practices.

7. How long we keep information

We keep buyer and exhibitor records while you continue to attend or exhibit at our shows and for a reasonable time after, so we can recognize returning buyers, manage booth seniority, and meet tax, accounting, and legal requirements. We keep newsletter subscriptions until you unsubscribe. When we no longer need information, we delete it or make it unidentifiable.

8. How we protect information

We use reasonable safeguards for the information we hold, including encrypted connections (HTTPS) on the Site, two-factor login for administrators, firewall and brute-force protection, and limited access to registration records. No system is perfectly secure, so we can’t guarantee absolute security. If a security breach affects your personal information, we will notify you as required by applicable law, including California and Hawaii breach notification laws.

9. Your choices

• Emails: use the unsubscribe link in any newsletter. We may still send messages about a show you registered for.
• Sharing with exhibitors: email us to opt out, as described in Section 4.
• Updating your information: email us, or update your details at check-in.

10. California privacy rights

If you are a California resident, you can ask us to:

• Know and access the personal information we have collected about you, including the categories of information, the sources, the purposes, and the categories of recipients;
• Delete personal information we collected from you, subject to legal exceptions;
• Correct inaccurate personal information;
• Opt out of having your personal information shared with exhibitors or other third parties; and
• Not be discriminated against for exercising these rights.

To make a request, email info@hawaiimarketexpo.com with the subject “Privacy Request” or call (415) 596-7254. We will verify your request by matching information you give us with our records, and respond within the time the law requires. You may use an authorized agent; we may ask for proof of the agent’s authority and to confirm your identity directly.

Shine the Light (Cal. Civ. Code § 1798.83): California residents may ask, once per year and free of charge, for information about personal information we disclosed to third parties for their own direct marketing purposes in the prior calendar year. Send requests to the email above.

Categories of personal information we have collected in the past 12 months: identifiers (name, email, address, phone, IP address); commercial and professional information (company name, GE license number, booth purchases); internet activity (pages viewed on the Site); and audio or visual information (photos and video at our shows). The sources, purposes, and recipients are described in Sections 2 through 4.

11. Hawaii residents

We follow Hawaii’s laws on security breach notification (Hawaii Revised Statutes chapter 487N) and on the secure disposal of records containing personal information (chapter 487R). Hawaii residents may use the choices in Section 9 and contact us with any privacy question or request.

12. Children

The Site is for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. Children under 16 are not admitted to our shows. If you believe a child has given us personal information, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new effective date, and for significant changes we may also notify you by email.
